Administrative Assistant

This position is being created to support the Board of Directors with record-keeping and documentation. The Administrative Assistant will report to the Secretary and will be compensated as follows:

  • $300 per month for 15 hours

  • $20 per hour for any additional hours

Responsibilities and Duties:

  • Approximately 15 hours per month

  • Attendance at Annual and Monthly HOA meetings. Take notes at the HOA meetings and produce the minutes

  • Maintain residential phone lists

  • Convert current system (paper documents) to electronic/digital files

  • Oversee communications between the Board and residents and follow up with requests.

  • Monitor and manage correspondence between Board members (emails, etc.) and include it the minutes.

  • Manage, and update SCCE residents, address, and phone listing (communicate with Holly and Kelsey)

  • Provide Membership Certificates for residents

    • New residents

    • Existing residents (those without Membership Certificates)

  • Maintain Board and Committee members’ phone numbers, emails, etc.

  • Track resident architect change requests for the Architectural Committee

  • Manage Key Inventory and distribution

  • Manage Key Fobs for the pool and rec area

  • Update picnic shelter bulletin board

  • Send out letters regarding covenant notifications and violations.

  • Reserve Doty Volunteer Fire Department for meetings

  • Account for hours worked

  • Assist with changes to covenants

Qualifications:

  • Proficient with computer (excel, word, PowerPoint, scanning, document storage)

  • Self-motivated

  • Attention to detail

  • Available for monthly and annual meetings

  • Strong organizational skills

  • Able to work with outside agencies (contract, Insurance, etc.)

  • Doty Fire Department, Son Tech, True Green, State Farm, Ace Hardware, UPS, and DENR

  • Excellent communication skills (face-to-face, phone, and email)
