Meeting Minutes: Jul 20

SCCE Board of Directors Meeting – July 20, 2020

The meeting was called to order by President Mike Wheeler. Board members present are Carolyn Ellington, Howie Aubertin, Dana Coats, Joe Hofmann, Marlowe McDowell and LuAnne Johnson

Members Absent – Scott Wagner

Staff present – Mike Riker
Staff absent – Kody Bybee

Residents attending – Greg & Brenna Roth

Approval of Agenda and call for changes – No changes

Minutes from the June 22, 2020 meeting were reviewed. Motion to approve minutes by Carolyn, seconded by Joe. Motion carried.

Financial Reports: Were emailed to Board Members from Kody Bybee on July 20, 2020
* A/R Aging Summary was reviewed as of July 19, 2020
* Payroll Summary from July 2019 through December 2020
* Balance Sheet as of June 30, 2020 (not July 2020)
* Profit & Loss for July 2020
* Profit & Loss Previous Year Comparison – July 1, 2019 through June 2020 (not July 2020)
* Transaction List by Vendor for July 2020

Discussed late payment, service charges and fees.
With no further discussion on the Financial Reports, Marlowe made a motion to approve with above discussion/questions and Joe seconded. Motion carried.

NEW BUSINESS:

  1. President Wheeler asked Greg & Brenna Roth if they had an agenda item that they would like to present to the Board (Greg had previously contacted Dana, regarding front ditch flooding that is backing into their yard) Greg declined and said they were just there to attend/listen to the meeting. No further action was required.

  2. Set date for SCCE Annual HOA meeting – After discussion, the Annual HOA meeting will be held on September 21, 2020 starting at 7pm. This year, due to COVID-19, the meeting will be held at the SCCE commons/property area. NO potluck dinner or kids’ games will be provided. We encourage residents to bring a lawn chair and something to drink. A notice will need to be sent out to residents.

  3. Speed Detection Equipment – Carolyn had inquired. Dana clarified the equipment that has been placed in the development is for counting the number of vehicles, and that helps determine the need for road repairs. No further action required.

OLD BUSINESS:

  1. Water System Report – Mike Riker
    Water system is working well!
    Swimming Pool System – Mike Riker
    * Pump went out and Mike used the back up. Purchased a new motor from Pool & Spa for $440.00 and have this in storage. Will be receiving a bill.
    *Pool & Spa – purchased chemicals, will also be receiving bill.
    * Pool LED lights were ordered. Should be receiving a bill from Morford Electric.
    * Pool shower is now working.

  2. The new tennis net – Thanks Max and Mike Riker for installing this!

  3. Recreation Committee Report – LuAnne Johnson
    Discussed the Annual HOA meeting.

ADMINISTRATIVE:

  1. Mike W – received letter from the Department of Environment and Natural Resources (DENR) regarding the Secretary’s Award for Drinking Water Excellence. Thanks to Mike Riker for maintaining 12 years of safe drinking water for our SCCE residents! Your water management is greatly appreciated!!

  2. Resident, Susan Brewer, sent the following email – ‘While I was walking I noticed that wherever Medcos (The cable company) heavy equipment was on the edge of the roads there are deep grooves in the pavement that are going to erode eventually. Do you know if they are planning on coming to repair the sides of the roads? I know they said that they were coming to lay sod, but I was wondering about this issue.’ Discussion followed, and yes, MIDCO will be repairing the sod.

  3. Mike R. also reported that BEKA used about 35,000 gallons of water while working on the MIDCO project. We should be receiving a payment for approximately $300.00 - $400.00.

  4. Resident, Ted Ayers, sent the following email – ‘ By the way, it’s once again time to remind our residents that it is a violation of the covenants to leave their dogs tied up outside when they are away from their homes and it is also a violation to allow their dogs to be continuously barking all day long.
    Thanks, Red (Ted) Ayers
    Board discussed and asked if Mr. Ayers has contacted his neighbor regarding the barking dog.

The next SCCE Board of Directors meeting will be on August 17, 2020 starting at 6:30pm at Doty VFD.

With no further business, Joe made a motion to adjourn, Marlowe seconded. Motion carried.
